Our team is expanding, and we are looking for a highly organized, self-motivated Assistant Communications Manager to provide administrative and client services support while also assisting the organization’s capacity building efforts. As a nonprofit 501(c)(3) organization dedicated to helping purpose-driven organizations use communications to create positive social change, we work nationally but are grounded in Los Angeles’s rich and diverse culture. We have a uniquely “LA” spirit of innovation that helps our clients transform fields like mental health, healthcare, education, the environment, and domestic violence by providing strategy, insight, planning, and implementation across media that build influence and amplify impact. This is a full-time position reporting to the Director of Client Services.

ESSENTIAL DUTIES AND RESPONSIBILITIES

PROJECT MANAGEMENT SUPPORT

  • In close collaboration with the Director of Client Services and Account teams, assist in the preparation of budgets, forecasts, workplans, and workflow schedules of organization and client projects
  • Help maintain the project management database and enter data, including purchase orders, budgets, timelines, status, and contacts
  • Monitor production timelines and schedules to ensure assigned projects are on deadline and budget
  • Develop/revise informative documents, spreadsheets, budgets, and reports
  • Provide insight and contribute creative and strategic ideas to improve processes
  • Assist with project management for and implementation of special projects
  • Gather and disseminate assets and materials to team members
  • Compile and synthesize data for both internal and client-facing reports

CAPACITY BUILDING SUPPORT

  • Assist in the preparation and production of training programs, including supply orders, maintaining inventory, and assembly of materials
  • Coordinate with designers as needed
  • Provide event management and onsite support for training programs

 ACCOUNT & MARKETING SUPPORT

  • Support client services account teams with a variety of tasks including research and development, account administration, communication and marketing projects, and campaigns
  • Work with vendors to purchase client and marketing related items
  • Assist in the production of client- and agency-related materials, including capabilities kits, presentations, and proposals
  • Proof and provide copy-edits for public-facing materials
  • Provide support for a variety of organizational marketing activities, including research, reporting, light website edits, and newsletter administration.

CLIENT FINANCE OPERATIONS SUPPORT

  • Working in collaboration with the Director or Client Services and Operations Manager, support client-related vendor and contractor management, including developing non-disclosure agreements, contracts, and invoices, and maintaining a vendor “pool” list
  • Administer and manage client-related purchase orders, and ensure timely payment through Accounts Payable, working in close collaboration with Director of Client Services and Operations Manager

Requirements

EDUCATION AND WORK EXPERIENCE

  • Bachelor’s degree
  • Two to three years of professional work experience (can be combined with fellowship/internship experiences)
  • Agency or nonprofit experience through full-time or part-time employment (can encompass fellowships/internships)

SKILLS AND ABILITIES

  • Demonstrated project management skills and experience in a deadline-driven environment
  • Established writing and research skills to include monitoring trends and insights from news media, social media, and reports
  • Strong written, verbal, and interpersonal communications skills
  • Proactive thinker and resourceful problem-solver looking ahead to upcoming projects and tasks
  • Ability to work independently and collaborate with the team
  • Flexibility and the ability to multitask and work well in a deadline-driven environment with excellent attention to detail
  • Comfortable working in a hybrid office/remote environment
  • Experience in event coordination, scheduling, and logistics
  • Strong knowledge of Microsoft Office Suite and familiarity with Mac OS
    Familiarity with project management software and working with databases a plus
  • WordPress experience a plus
  • Bilingual fluency in Spanish preferred
